Transporting a musical instrument may appear daunting, but it’s easier than you might think. The key lies in properly securing and packaging it for its journey through the courier network. At My Baggage, we’re here to handle the shipping for you, but we also want to provide some expert tips to help you send your musical instrument safely and enjoy a smooth shipping process.

1. Use Strong Instrument Cases

It is recommended to package your instruments in a durable and reliable music case. Since they will be transported on automated conveyor belts within the courier system and transferred between vehicles and aircraft, the case needs to be robust enough to protect against the elements. You can find specialised music cases available for purchase online.

2. Disassemble or Loosen

If your instrument features strings, it’s advisable to detune or loosen them prior to shipping. This action will alleviate tension and reduce the risk of damage. Keep in mind that fluctuations in temperature can impact the instrument as well, so leaving the strings loose is a safer choice. Similarly, if your instrument can be disassembled, it’s wise to take it apart and wrap each component carefully for protection. This approach minimises the chances of damage and simplifies the packaging process.

3. Choose the Right Packaging

When sending a musical instrument, it’s advisable to use a dedicated music case for optimal protection. However, if you choose to place the music case inside a box for extra protection, make sure to select a strong double-walled box. For smaller instruments, ensure they are securely packed within a travel case or box to provide adequate protection.

4. Use Bubble Wrap or Protective Materials

Secure your instruments using plenty of bubble wrap or similar protective materials, paying special attention to delicate areas such as the neck and edges. Make sure to encase the whole instrument, adding extra cushioning between the strings and fretboard for enhanced protection.

5. Fill Any Gaps

After you’ve securely packed your musical instruments, be sure to fill in any gaps. You can utilise any remaining bubble wrap or crumpled newspaper for this purpose. This step will help minimise movement and ensure that everything is well-protected.

6. Label Your Packaging

When you’re happy that your Musical Instrument shipment is prepared for shipping, it’s time to attach the labels to the package. At My Baggage, we will provide you with two labels; we suggest placing one inside the package before sealing it as a precaution in case the external labels become detached or damaged. Make sure that your package is securely taped shut. If you are using a travel/music case, please do not lock it, as your shipment may undergo customs inspections and require checking. Lastly, check that all essential shipping labels are attached to your items and are clearly visible for the courier.

7. Insure Your Musical Instruments

It’s a good idea to think about securing adequate independent insurance for your musical instruments, especially for shipping purposes. This is particularly important since our compensation cover does not include musical instruments, even though damage is rare.

8. Let My Baggage Handle Your Musical Instrument Shipment

With your musical instrument now safely packed, you can now relax. My Baggage will collect your item on the arranged date and have it delivered to its destination. You can effortlessly monitor your shipment’s status through our detailed online tracking system.
